Data sheet publishing with client or server

Efficient data sheet creation through automation and centralized data storage

Data sheets are a key element of product communication. They provide structured information on technical specifications, areas of application, safety and installation instructions, and legal requirements, thereby forming a reliable basis for the selection, use, and further processing of products. Whether for machines, spare parts, or complex product portfolios, the requirements for up-to-date information, accuracy, and multilingualism are high. Data sheets are therefore indispensable for customers, sales partners, and internal teams.

Typical challenges

In many companies, product data sheets are still created manually – a time-consuming process that is prone to errors and requires complex version management. Content must be maintained multiple times and adapted for different markets. Internationally active companies in particular face additional requirements such as legal regulations, language variants, and country-specific standards.

The solution: Automated, data-based data sheet production

With an automated solution based on centrally maintained product data, data sheets can be created efficiently, error-free, and in line with your CI. Content is taken directly from the connected content systems and integrated into predefined templates. Changes to product data are automatically reflected in all relevant output channels—quickly, transparently, and consistently.

priint:suite offers a powerful infrastructure for this purpose: Data sheets can be generated server-based or directly in Adobe InDesign Desktop – including automated language and country updates, rule-based checking mechanisms, and integration into existing approval processes. Generation via web services is also possible, for example for integration into websites or customer portals. Product data is maintained centrally in the PIM and transmitted to the priint:suite server via a standardized web service interface. There, the data sheet is automatically generated in the desired layout – including all relevant content, images, and country-specific requirements. The finished PDF is fed directly back into the PIM system and assigned to the respective product.

Media-neutral distribution for maximum reach

The data sheets generated can be used in any medium – whether as PDF downloads, in web shops, mobile applications, or in print. This allows you to reach your target groups across all relevant channels with consistent, up-to-date information. Your added value: save time, ensure quality, scale globally.

By automating data sheet production, you reduce manual effort, minimize sources of error, and ensure consistently high data quality. At the same time, you gain speed and flexibility—a decisive advantage in dynamic markets with growing information needs.

This is achieved with priint:cloud in combination with leading systems such as Akeneo, ATAMYA, apollon, Informatica, KatanaPIM, nexoma, prorizon from forbeyond, Syndigo, or Thron. Whether data-driven, event-driven, on-demand, personalized, programmatic, or customized, priint:cloud simplifies and accelerates the entire creation process by automatically generating documents based on predefined rules and templates.

Some of our customers are already using it to automatically generate data sheets for over 50 brands, for example – in line with brand guidelines, CI standards, and in multiple languages. The solution is highly scalable, supports any number of product and language variants, and can be flexibly integrated into existing approval processes. Thanks to its cloud architecture, there is no need to invest in your own publishing infrastructure. At the same time, companies benefit from short rendering times, high availability, and ease of use – directly from the PIM.
