Datasheet service for Akeneo – How to guide

Thank you for your activating our Datasheet service for your Akeneo PIM system.

The following pages and How-to guide will explain in detail how to use our Datasheet service with your Akeneo PIM system.

This guide assumes that you have already activated our Datasheet services in your Akeneo PIM via the use of our Datasheet service App. If you have not done this yet, please start by using our Akeneo App available in the Akeneo App store.

Datasheet service for Akeneo

During the installation, several configurations were done on your Akeneo PIM.

Whether you are using our demo datasheet template or a specific template for your company, usage will be the same.

  1. Login into your Akeneo system
  2. Navigate to your products and display one of your product’s attributes
  3. In the Attribute Group menu, click and select Priint datasheet service group

During the installation using our Datasheet Service App, this Attribute Group with 3 new attributes was added to your Akeneo system.

 

Priint datasheet service attributes

  1. Priint template attribute
    Here will be listed one or multiple templates configured for this product.
    Simply select the template you want to use, before starting the process.

  2. Priint Status
    This attribute is used for multiple actions:

    Start PDF generation: This will trigger the creation of a new datasheet, if you select this value and save the record in Akeneo, your PDF will be generated in the cloud and saved back in your Akeneo PIM as a linked asset.

    PDF generated: This is an information status, informing the user that a datasheet was generated.

    PDF generation in progress:  This is an information status, informing the user when a datasheet as been requested, and is in progress of being rendered.

    Error during PDF generation: This is an information status, informing the user that an error was encountered during the generation process.

  3. PDF generation log
    This attribute that displays a time stamp when the service ran the last time and a PDF was last generated.

 

Generating a datasheet

Getting started and generating a datasheet is quite simple:

  1. Select the template you want to use

From the Priint template attribute, select the template you want to use for your rendering.

 

2. Start the generation process

From the Priint status attribute, click and select the Start PDF generation option.

 

3. Save the changes to your product record

Click on the SAVE button on the upper right corner in your Akeneo PIM, to save changes to the product.

 

All done, you go elsewhere in Akeneo, the rendering of your datasheet is processed on our priint:cloud servers, when done the PDF will be sent back to your Akeneo server.

Datasheet rendering time

The actual generation (rendering) of your datasheet is processed on our powerful priint:cloud server, the generation of the datasheets will take up to 5 minutes. The priint:cloud services responsible for generating the datasheets queries your PIM every 5 minutes for an order to generate new datasheets.

Please allow 5 to 6 minutes for your datasheet to be delivered to your PIM.

Datasheet delivery

Once your datasheet has been rendered by our priint:cloud server, your datasheet will be uploaded in PDF format directly into your Akeneo PIM, it will be uploaded to your server as an Asset linked to the product.

To view the datasheet that has been generated:

  1. Go back to the product where you triggered the creation of the datasheet.
  2. Go to the Assets linked to your product.
  3. The new Datasheet will be saved in the PRIINT DATASHEET SERVICE group

 

4. To view or download the datasheet, click on the thumbnail of the datasheet.

 

You can then click on:

  • Download, to Download the PDF to your computer.
  • Edit Asset to edit the Asset record in Akeneo.

Datasheet templates

Setting up and creating new datasheets requires some technical service from priint:group technical team. This is needed in order to adapt the selected templates to your exact data model in your PIM.

There are 2 types of datasheets that can be configured on your Akeneo PIM server.

Standard templates

These standard templates have been prepared by our team to allow fast and simple configuration of templates on your Akeneo PIM.

Please contact our support team for more information on how to use these standard templates at support@priint.com.

Computers template

This template can be used for any types of products. It can use table data, uses variants or a table attribute. Logo and colors can be changed to customer needs.

Alternate Computers template

This other computer template can also be used with any types of products. It can use table data, uses variants or a table attribute. Logo and colors can be changed to customer needs.

Power tools template

This 3rd template can also be used for any types of products. It can use table data, uses variants or a table attribute. Logo and colors can be changed to customer needs.

Lightening template

This fourth template can also be adapted to any products. It can use table data, uses variants or a table attribute. Logo and colors can be changed to customer needs.

Custom templates

Customer specific templates can also be used bu our datasheet service for Akeneo, these will need to be prepared specifically for each customer, based on graphical requirements and product data required for each customer.

Preparing standard or custom templates requires some technical services from our priint team.

Datasheet service Limitations

Known and intended limitations of the Datasheet Service :

  • The Datasheet Service App is intended for fast and simple generation of PDF datasheets form your Akeneo PIM
  • Customer specific datasheets templates must be delivered by the customer, ideally in Adobe InDesign format
  • Technical services fees apply to configure customer specific templates
  • The Datasheet Service is intented for the generation of PDF format datasheets, no other output formats are proposed by design
  • The Datasheet Service is not intended to generate multi-product documents such as price lists, catalogues or other types of publications
  • The Datasheet Service will fetch data solely in your Akeneo PIM, it will not connect to other data sources
